Bring your administrative expertise to Arup's Manila office, supporting busy technical teams and helping the business operate smoothly and efficiently. This role is ideal for someone who is commercially aware, interested in how businesses operate and enjoys building strong relationships while delivering exceptional support.
You will provide administrative and bid support across a dynamic project environment, helping teams manage priorities, coordinate activities, and contribute to successful project and proposal delivery. Experience supporting teams within an engineering consultancy, professional services firm, or similar project-based business is essential, along with proven bid support experience and an understanding of the pace, stakeholder management and competing priorities involved in supporting technical teams.

The Opportunity
- Travel arrangement.
- Staff on/off-boarding.
- Team events, meetings and workshops, including supporting logistics and documentation.
- Management of team calendar, distribution list and SharePoint sites.
- Create, maintain and update client and opportunity records within the CRM system.
- Assist with invoicing, financial tracking and commercial administration.
- Coordinate bid governance processes, including job number applications, Bid/No-Bid reviews, contract reviews and bid review meetings.
Assist with invoicing, financial tracking, and commercial administration. - Provide bid and proposal support, including completing tender documentation, sourcing CVs, collating project experience, and formatting and compiling submission documents.
- Provide project administration support throughout project delivery.
- Coordinate project close-out activities, ensuring documentation and records are completed accurately and on time.

Is this role right for you?
- Considerable relevant industry experience in team administration within a consulting/engineering built environment business.
- Experience of managing senior staff diaries, tasks and prioritsation of key issues.
- Detail and process oriented.
- Results-driven and able to work under pressure.
- Proactive and takes ownership of tasks.
- Strong interpersonal skills across technical and non-technical teams.
High level of self-awareness and accountability. - Excellent understanding of processes, guidelines and job instructions, knowledge of nuances and ambiguities.
- Develops a strong understanding of existing processes and proactively works with stakeholders to identify, challenge and implement improvements that enhance efficiency and effectiveness.
- Studying towards recognised relevant tertiary qualifications in business, projects or similar.
